Power Zimlet #3 <\/strong><\/p>\n

If you have 100s or even 1000s of contacts and perhaps also using multiple address books and want to organize them, this one is for you. With lot of contacts also comes organization or maintenance, syncing and other issues.\u00a0 For example, say you want to move all your company\u2019s contacts into one address book so you can share company\u2019s address book to someone,\u00a0 or,\u00a0 say file all of them by \u201c(Company) First Name Last Name\u201d format so its easy to sort them and differentiate them,\u00a0 you will immediately see there is no easy way to do that.<\/p>\n

And that\u2019s where this Zimlet come in. Its\u00a0 a very powerful and flexible Zimlet and provides 5 different ways (& several combination) to help organize your contacts. It also organizes across multiple Address books (simply use ctrl -key or Shift-key to select multiple folders).<\/p>\n

1. Move or Cleanup:<\/strong>
\n– Move all contacts with xyz domain\u00a0 in ALL address book folders into xyz Addressbook.<\/p>\n

For example,\u00a0 say\u00a0 you want to move all gmail contacts to folder called \u2018gmail friends\u2019.\u00a0 Assuming you already have an addessbook folder by name \u2018gmail friends\u2019,\u00a0 here is how you would do that:<\/p>\n

STEPS:<\/p>\n

    \n
  1. Select \u201cContact\u2019s email contains\u201d menu,<\/li>\n
  2. Enter \u201cgmail.com\u201d in the next field<\/li>\n
  3. Select all the folders using Shift key or ctrl key\u00a0 from \u201cin folder(s): \u201d menu<\/li>\n
  4. Select \u2018Move Contacts to:\u2019 Radio button<\/li>\n
  5. Select the folder \u2018gmail friends\u2019<\/li>\n
  6. Press Organize<\/li>\n<\/ol>\n

    Other use cases:
    \n–\u00a0 Move some Contacts in ALL\u00a0 Address Book to Trash<\/p>\n

    –\u00a0 Move ALL\u00a0 Contacts in Some Address Book to Trash<\/p>\n

    –\u00a0 Move ALL\u00a0 Contacts in ALL Address Book to Trash<\/p>\n

    2. Merge:<\/strong><\/p>\n

    – Move all contacts\u00a0 in multiple Address-books(say AB2, AB3 & AB4)\u00a0 to a single address book(AB1)<\/p>\n

    3. \u201cSort and Store\u201d aka \u201cfile-As\u201d:<\/strong><\/p>\n

    – Zimbra by default sorts contacts by last name but lot of people want to sort by Company and one of the way you can achieve this is by filing them as \u201c(Company) Firstname Lastname\u201d or \u201cCompany Lastname, FirstName\u201d or \u201cCompany\u201d<\/p>\n

    – You can use File-as Action to simply file all your contacts in a specific format for consistent appearance.<\/p>\n

    4. Tag:<\/strong><\/p>\n

    – Tag all contacts that contains some domain(say zimbra.com) with some tag(say: zimbra folks)<\/p>\n

    5. Contacts with Phone number(for mobile sync): <\/strong>This is one of the special actions I added to help mobile users to move all the contacts that has phone number to one folder. Which in-turn makes it easier to make phone calls.
    \ne.g. move all contacts with phone numbers to \u201chas phone number\u201d Address book. Now, sync it to mobile phone and you can be sure to know that the contacts in that folder has some phone number.<\/p>\n
